How to Create a Professional Email Signature for Free in Outlook Web

Email plays a crucial enough role in the job world. It is the main communication medium used by professionals, employees, employers, freelancers and other elements in the job world. Although less popular compared to Gmail, there are some professionals that use Outlook as their main email. This post will show you how to create a professional email signature in Outlook web.

Just like other email services, Outlook also has a feature that allows you to add a signature on every email you send. However, it takes time to create a professional-look email signature using the default email signature editor of Outlook.

There are a bunch of email signature software out there that you can use to effortlessly create a professional email signature, including the email signature generator from HubSpot which you can use for free. This tool allows you to add social media icons — which is a norm in an email signature — as well as other required information like phone number, website, job title, profile picture, and so on.

First off, visit this page and select an email signature template available on the left panel. By default, each email signature template contains the HubSpot branding (watermark). You can remove it by sliding the switch on the Created With HubSpot option.

To add your name, job title, website, social media accounts, and other required information, you can go the second tab (from left).

If the base color of the template you choose doesn’t suit you, you can change it on the third tab. In addition to the base color of your email signature, you can also change the text color, link color, font size and font style on this tab.

You can add your profile picture and your company logo on the fourth tab.

Once done with the signature, click the Create Signature button right beneath the signature preview on the right panel.

On the next page, click the Copy Signature button.

Now, login to Outlook web and click the gear icon on the top bar followed by View all Outlook settings link on the bottom of the appearing panel.

On the Mail tab, select Compose and reply and paste the signature you have just copied on the available field.

If you want to automatically add your signature to every email you write, make sure to tick the Automatically include my signature on new messages that I compose option, right beneath the signature field.
